Vacation Rentals Terms & Conditions
The policies and procedures of Tropical Felgate are designed to ensure that we give both you and our owners the best service possible. Please read them carefully. If you have any questions, we will be happy to answer them – just call us on:

Some minimum stays apply during peak seasons in the High, Mid and Green seasons. Properties restricted to weekly rentals only must be rented Saturday to Saturday. Some properties are restricted to weekly rentals all year.
Monthly rentals are available February through December. Monthly reservations may not be allowed at all properties during December and January. However, the early portion of December and late portion of January may be available at a discounted weekly rate, if you are also renting the property for all of November and/or February.
High Season: Most houses and duplexes are available for weekly rentals only Saturday to Saturday. Check the website or with a reservation agent for last minute cancellations, for the possibility of less than a full week rental, in the high season.
Mid Season and Green Season: Most are available with a 3 to 4 night minimum.
High Season: Less than weekly stays may be available if reserved after January 15th. Three night minimum stays are available for certain properties.
Mid Season and Green Season: 2 or 3 night minimum stays available for certain properties.
Where: Your check-in location will depend upon the location of the accommodation you select. You will be advised with your reservation confirmation of your check-in location, address and directions. The following Properties have On-site check-in - Green Forest Studios.
When: Between 3:00 PM and 5:00 PM on scheduled arrival date. Please notify us if you plan to arrive after 5:00 so we can make arrangements for late check-in. In peak season some accommodations may not be ready by 5 PM. Properties must be cleaned before releasing keys for occupancy and therefore check-in time can not be guaranteed. Please be patient should this occur
Why: To check in, settle your account; pick up your accommodation packet with keys and parking pass.
Late Arrivals: Upon your arrival, your accommodations packet will be in our convenient late check-in box, provided all rent and applicable fees have been paid in advance as per policy. If you will arrive late you must make advance payment arrangements.
Where: Return keys to our Green Forest Studios office
When: 12:00 PM. Departures after 12:00 PM are subject to a charge equal to one day’s rent and tax.
Check-out Responsibilities: See Rules & Regulations in your check-in package and as posted in the property. Leave property reasonably clean. Leave all kitchen items such as dishes and utensils clean and in original location, close all windows and doors and dispose of trash in outside disposal locations.
To take advantage of our EXPRESS CHECK-IN, payments of all balances owed are due 14 days before arrival. Balances for all monthly rentals are due 21 days before arrival. If you are making a reservation within 14 days of arrival, full payment is due at the time of booking, to expedite your check-in.
We do not currently accept personal checks or traveler's checks.
VISA, MasterCard cards and all major credit/debit cards are accepted.
Payment must be made in a single payment from one individual.
Security Deposit amounts varies by property. A security deposit $300.00 - $400.00 is required at check-in and is refunded at check-out, if the unit is returned in good condition.
For all reservations up to 28 nights, 50% refund up until 1 week prior to arrival, except fees.
For a 50% refund, cancellation must be made seven full days prior to listing's local check in time (or 3:00 PM if not specified) on the day of check in, otherwise no refund. For example, if check-in is on Friday, cancel by Friday of the previous week before check in time.
If the guest cancels less than 7 days in advance, the nights not spent are not refunded.
If the guest arrives and decides to leave early, the nights not spent are not refunded.
For all reservations over 28 nights 50% refund up until 30 days prior to arrival, except fees
For a 50% refund, cancellation must be made 30 full days prior to listing's local check in time (or 3:00 PM if not specified) on the day of check in.
If the guest cancels less than 30 days in advance, the nights not spent are not refunded.
If guest arrives and decides to leave early, the nights not spent are not refunded.
Long Term 90 nights and over: First and last month down payment, 30 day notice for lease termination
If the guest books a long term stay and decides to cancel the long term agreement before the start date, the first payment is paid to the host in full.
If the guest books a long term stay and decides to cancel the long term agreement during their stay, the guest must use the online alteration tool in order to agree to a new checkout date. Regardless of the checkout date chosen, the guest is required to pay the host for the 30 days following the cancellation date, or up to the end date of the guest's original reservation if the remaining days of the original reservation is less than 30 days.
The number of guests, including children, is limited to the sleeping capacity indicated by Tropical Felgate. Exceptions may be made for infants under the age of 2. Underage individuals are not permitted to rent. Person checking in must be the person who is renting the unit. Any reservations obtained under false pretend may be subject to loss of deposit and/or rent. Guests under the age of 25 must have direct adult supervision at all times when on rental premises. No loud parties, loud gatherings or illegal activities are allowed. Motor homes or campers are not permitted to hook up to utilities on any rental premises. Absolutely no unit will be rented to vacationing students who are not accompanied by parent or guardian of age. Parent must be actually staying in the unit with the students the entire length of the reservation.
Guests may be asked to immediately vacate rental premises, without refunds or compensation, in the event of unnecessary and loud noise (nuisance or disturbance), breaking Tropical Felgate or condominium association rules or other illegal activities. Any reservation obtained under false pretense and not adhering to minimum age and supervision requirements is subject to immediate eviction without refund or compensation.
We reserve the right to substitute comparable accommodations without notice or liability should the reserved unit be out of order or not available for any reason. When comparable accommodations are not available, renter will have the option of selecting from available properties at the published rate or receiving a complete refund of the reservation deposit and all pre paid rent.
We love pets as much as anyone; however, pets are allowed only in specifically identified pet friendly properties and with applicable non refundable pet fees. Pets are not allowed in any property not specifically identified as pet friendly. A pet or evidence of a pet found on premises at any non pet friendly property will cause forfeiture of entire rent and deposit and immediate tenant eviction.
Linens, Towels and Supplies
Bed linens, blankets, pillows and towels are provided, along with a starter supply of soap and bathroom tissue. Daily linen service is not offered at this time, except at a few specified properties.
Furnishings and Decor
All rental properties are equipped with water heater and air conditioning, microwave, coffee maker and toaster and cable TV unless noted otherwise. Because the properties are privately owned, decor, style, color schemes and furnishings will vary. There are no guarantees that the standards provided by the owner are compatible with those of the guest. Furnishings are subject to change without notice. No refunds will be given for any appliance or equipment malfunction. We will make every effort to repair or replace as soon as possible during your stay.
Every effort is made to maintain the accommodations in good repair. All repairs will be handled as quickly as possible. No refunds will be provided due to inoperable appliances or common area pools, hot tubs, elevators or any other common area amenities, infrastructure or equipment.
Keys must be picked up and returned to the Tropical Felgate check-in location. A $25 charge will be assessed for each key not returned to Tropical Felgate. A service fee of $25.00 during normal business hours and $50.00 after 5:00 PM will be immediately charged to your account if a key is lost or should Tropical Felgate be called to unlock a unit due to a guest being locked out. The guest is liable for incurred expenses should it become necessary to contact a locksmith.
Most condominium associations allow one vehicle per unit. Condominiums and most homes prohibit boats, trailers, jet skis and motor homes. Please consult your reservation agent should you wish to bring any of these type vehicles. Any vehicle not displaying required parking passes will be subject to being towed by the Building Owners Association, at vehicle owners’ expense.
Using outdoor grills is prohibited on decks, porches, and balconies of all condominiums and beach houses and duplexes. Most condo buildings, duplexes and houses have BBQ areas.
Inspection/Showing of Units for Sale
We reserve the right to enter rental premises at any time for the purpose of inspection, repair, or other management requirements. In the event that the property you are renting is on the market for sale, we may need to show the property during your visit. We will make every effort to schedule the showing at a convenient time. No inconvenience discount is allowed.
All units are leased without regard to race, color, religion, sex, national origin or handicap.
Due to liability issues, we are unable to provide prospective renters with keys to preview properties.
Prices, furnishings and taxes are subject to change. All properties are privately owned, and the decor and furnishings will differ based on the owner’s personal taste. We reserve the right to change unit assignments if the need arises.
